📌Before a Student's First Day

For On-Campus Departments

All new student workers must complete the I-9 Employment Eligibility Verification before their first day of work. Failure to complete this requirement may delay the student's start date. Students cannot begin working or receive pay until the I-9 process is complete.

Students who have previously worked on campus and already completed an I-9 do not need to complete a new form. Please confirm the original I-9 completion date with the I-9 Office before directing the student to submit a new form.

For On-Campus Departments: Share with Students

Please instruct new student employees to complete the online web form by clicking (Form updated August 2024). After submitting the form, students will receive an email from our vendor, HireRight, with a link to complete Section 1 of the federal Form I-9 online.

If a student does not receive the email within two business days, they should contact i9@vanderbilt.edu.

Students must complete Section 1 of the Form I-9 online before their first day of employment.

• W-4 (Tax Withholding Form):
  Students may submit or update their W-4 information online by logging into��Oracle, once their hire is complete by navigating to:
  Me > Pay > Tax Withholding
• Direct Deposit:��Students may create their direct deposit in Oracle once their hire is complete by navigating to: Me > Pay > Payroll Payment Methods
