Student Employment Hour Limitations
Undergraduate and International Students
- Maximum of19 hours per week across all positions while school is in session. This limit includes the combined hours from all on-campus positions.
- May workup to 40 hours per weekduring official university breaks (summer, winter, holidays)
Graduate and Professional Students
- Limited to29.5 hours per week while school is in session. This limit includes the combined hours from all on-campus positions.
- May workup to 40 hours per week during official breaks (summer, winter, holidays)
- Individual academic programs may impose additional hour restrictions
📌Before a Student's First Day
For On-Campus Departments
All new student workers must complete the I-9 Employment Eligibility Verification before their first day of work. Failure to complete this requirement may delay the student's start date. Students cannot begin working or receive pay until the I-9 process is complete.
Students who have previously worked on campus and already completed an I-9 do not need to complete a new form. Please confirm the original I-9 completion date with the I-9 Office before directing the student to submit a new form.
For On-Campus Departments: Share with Students
Please instruct new student employees to complete the online web form by clicking (Form updated August 2024). After submitting the form, students will receive an email from our vendor, HireRight, with a link to complete Section 1 of the federal Form I-9 online.
If a student does not receive the email within two business days, they should contact i9@vanderbilt.edu.
Students must complete Section 1 of the Form I-9 online before their first day of employment.

Students may submit or update their W-4 information online by logging intoOracle, once their hire is complete by navigating to:
Me > Pay > Tax Withholding - Direct Deposit:Students may create their direct deposit in Oracle once their hire is complete by navigating to: Me > Pay > Payroll Payment Methods

Federal Work Study (FWS) Eligibility & Hiring
Before processing an FWS hire, please:
- Confirm FWS Eligibility
- Use theinHireADore
- Complete the Hire in Oracle
- Once approved through workflow, theHCM Specialistmust add theFWS costing string

Any change from a regular student worker assignment to an FWS assignment must align with abiweekly pay period start date.

New Starting Fall 2026: FWS Start and End Dates
- Biweekly Start Date: Sunday August 16, 2026
- Biweekly End Date:Saturday May 22, 2027
Beginning with the 2026–2027 academic year, the FWS start and end dates for biweekly-paid students will change.
This update is intended to streamline FWS processing and reduce confusion related to year-end cost sharing.
